Support inbox triage and reply drafts

Every two hours the agent labels new support email, looks up the order, and drafts a reply in your voice for you to approve.

Copy-paste prompt

Every 2 hours from 8am to 8pm, check the support inbox for new messages. Classify each, look up the order in [order source], and draft a reply using only facts from the order and from [policies doc]. Don't send anything. Put chargebacks, legal threats and orders over $[200] at the top. Post a digest table here with a link to each draft.

Fill in everything in [square brackets]. Put your approval rules (see the free operator's charter) above it.

What you need

How the agent does it

  1. Pull unread messages since the last run; skip anything already labelled.
  2. Classify each one: where-is-my-order, return/refund, product question, wholesale, spam, other.
  3. For order questions, find the order by email or order number and note its status and tracking.
  4. Draft a reply using only facts from the order record and the policies doc. Never promise refunds, credits or dates.
  5. Flag escalations (chargeback, legal threat, order over [$200], angry repeat customer) to the top of the digest.
  6. Post a digest: one line per message with the category, the draft link and the decision needed.

What you get

A digest table (from, subject, category, order status, draft ready Y/N, needs-you reason) plus saved drafts.

ScheduleEvery 2 hours, 8am-8pm in your time zone, plus a 8am morning digest.
Needs your approvalSending any reply, issuing refunds or credits, and changing orders always need the owner's approval.
How to check it workedEvery draft cites the order record or policy line it relied on. Count of messages in = count of rows out.

Setting it up in each agent

In Grok Bot

Ask the Bot to run the prompt once and review the result. Then say "Save the process we just used as a skill called 'Support inbox triage and reply drafts'" and "Create a routine that runs the Support inbox triage and reply drafts skill every 2 hours, 8am-8pm in your time zone, plus a 8am morning digest". Grok Bot's docs say a Bot can own up to 50 routines, schedules must be at least five minutes apart, and you should use Test run before you enable one.

In Meta Muse

Paste the prompt into Muse and ask it to remember the job and run it on the schedule. Muse asks for approval before outbound actions and purchases, so keep the 'don't send' line in the prompt. Before you rely on it, check that Muse can reach the apps this recipe needs.

In ChatGPT Dots

Give your dot the prompt as an ongoing goal and set the schedule. Dots can work between chats and ask for approval before sensitive actions. OpenAI says background work counts toward your plan's allowance, so match the frequency to what you actually need.

Run it by hand once with harmless inputs before you schedule it. A test run does real work.
