Subscription and SaaS spend audit

Finds every recurring charge, flags unused or duplicate tools and drafts the cancel list.

Copy-paste prompt

On the 1st of every month, go through the last 3 months of [card CSV] and list every recurring charge with its monthly and yearly cost. Look up cheaper plans for each tool. Flag duplicates, price increases and anything unused in the last 30 days, with evidence. Total the possible yearly savings. Don't cancel anything.

Fill in everything in [square brackets]. Put your approval rules (see the free operator's charter) above it.

What you need

How the agent does it

  1. Find recurring merchants (same merchant, similar amount, monthly or annual cadence).
  2. Look up each tool's current plan and cheaper tiers.
  3. Flag duplicates (two tools doing one job), price increases and anything unused for 30+ days.
  4. Estimate annual savings per action.

What you get

A subscriptions table (tool, cost per month, annualized, owner, verdict) and the total savings.

ScheduleMonthly on the 1st.
Needs your approvalCancelling or downgrading needs approval and is done by the owner or with explicit OK.
How to check it workedAnnualized totals tie to the CSV; every 'unused' verdict states the evidence.

Setting it up in each agent

In Grok Bot

Ask the Bot to run the prompt once and review the result. Then say "Save the process we just used as a skill called 'Subscription and SaaS spend audit'" and "Create a routine that runs the Subscription and SaaS spend audit skill monthly on the 1st". Grok Bot's docs say a Bot can own up to 50 routines, schedules must be at least five minutes apart, and you should use Test run before you enable one.

In Meta Muse

Paste the prompt into Muse and ask it to remember the job and run it on the schedule. Muse asks for approval before outbound actions and purchases, so keep the 'don't send' line in the prompt. Before you rely on it, check that Muse can reach the apps this recipe needs.

In ChatGPT Dots

Give your dot the prompt as an ongoing goal and set the schedule. Dots can work between chats and ask for approval before sensitive actions. OpenAI says background work counts toward your plan's allowance, so match the frequency to what you actually need.

Run it by hand once with harmless inputs before you schedule it. A test run does real work.
