Copy-paste prompt
Every Friday, load [card/bank CSV] and match each transaction to a receipt in my email (same merchant, same amount, within 3 days). Save matched receipts to [folder] named YYYY-MM-DD_merchant_amount. Suggest a category for each one from [chart of accounts]. List the ones with no receipt and any that look like duplicates. Don't log in to any bank.
Fill in everything in [square brackets]. Put your approval rules (see the free operator's charter) above it.
What you need
- Bank or card CSV export (no login needed)
- Email connector for receipts
- A receipts folder
How the agent does it
- Load the transaction export for the period.
- Search email for receipts by merchant, amount and date (+/- 3 days).
- Save each matched receipt as YYYY-MM-DD_merchant_amount.pdf in the folder.
- Suggest a category for each transaction from your chart of accounts.
- List unmatched transactions and likely personal or duplicate charges.
What you get
A matched or missing table, receipts saved to the folder, and category suggestions.
| Schedule | Weekly on Fridays, plus a month-end run. |
|---|---|
| Needs your approval | No bank logins and no payments. Changes in accounting software need approval. |
| How to check it worked | Matched amount equals the transaction amount to the cent; the missing list is explicit. |
Common mistakes
- Giving the agent bank credentials. Use exports instead.
Setting it up in each agent
In Grok Bot
Ask the Bot to run the prompt once and review the result. Then say "Save the process we just used as a skill called 'Receipts and card matching'" and "Create a routine that runs the Receipts and card matching skill weekly on fridays, plus a month-end run". Grok Bot's docs say a Bot can own up to 50 routines, schedules must be at least five minutes apart, and you should use Test run before you enable one.
In Meta Muse
Paste the prompt into Muse and ask it to remember the job and run it on the schedule. Muse asks for approval before outbound actions and purchases, so keep the 'don't send' line in the prompt. Before you rely on it, check that Muse can reach the apps this recipe needs.
In ChatGPT Dots
Give your dot the prompt as an ongoing goal and set the schedule. Dots can work between chats and ask for approval before sensitive actions. OpenAI says background work counts toward your plan's allowance, so match the frequency to what you actually need.
Run it by hand once with harmless inputs before you schedule it. A test run does real work.
